The Receptionist and Group Assistant ensures a safe, productive, and comfortable environment by managing daily office operations, supplies, and by supporting all office employees and customers that come to the office to enjoy the IQAir China office environment.
前台接待和集团助理负责管理日常办公与供给,帮助所有来到公司的 办公职员和客户,让他们在艾可爱尔中国区的办公室感到愉悦,确保一个安全、高效、舒适的办公环境。
Responsibilities
工作职责
· Ensures the overall comfort, safety, and cleanliness of the office environment.
· 保证整个办公环境安全舒适、清洁整齐;
· Direct incoming calls and visitors to the correct person without delay or confusion.
· 迅速准确地将来电转给需要找的同事,带领来访者找到接洽人员;
· Takes messages to ensure employees can call back customers and colleagues if they are away from their desk, and follow the SOP for messages.
· 如果同事们暂时不在座位上,做好记录,确保他们回来后会给客户和同事打电话,按照标准作业模式(SOP)记录信息;
· Ensures that the Reception area looks excellent and supports the company’s values to take great care of customers and employees
· 保证前台接待区的出色工作,支持公司价值观,细心照顾好客户与同事;
· Orders and disperses office supplies on an as need basis
· 按需定期购买并分发办公用品;
· Ensures that office supplies are fully stocked and in good quality, update telephone directory information.
· 保证办公用品库存充足,且质量有保证,更新电话簿信息;
· Assist HR Administrator to manage the staff personal file and establish the management of employees file
· 协助人力资源管理部门管理职工个人信息文件夹,做好员工文件夹管理;
· Responsible for sending document by carrier and receiving documents, newspaper, and mail.
· 负责收发快递文件;整理好公司订阅的报纸、杂志和信件,按时派发;
· Assist staff in making document copies or scans
· 协助同事复印或扫描文件;
· Record the employee’s attendance information and submit to HR Administrator in the end of the month.
· 记录员工出勤信息,月底上报人力资源部门主管;
· Arrange business trip schedule for senior managers, including tickets and reservations.
· 为高级经理安排出差计划,包括订机票和订酒店;
· Manage conference room
· 管理会议室;
· Track phone calls according to company SOP.
· 根据公司标准作业流程追踪所有电话记录;
· Coordinate After Hour and Holiday Phone responsibilities.
· 协调下班后和节假日电话接听职责;
· Order and Supply company commentary (water, lunch, etc).
· 为公司订餐,订水等
· Compile customer list and potential customer list.
· 编写客户名单及潜在客户名单
· Communication with building management and ayis.
· 负责与物管和保洁阿姨沟通;
· Enter expenses into ERP system.
· 将费用输入ERP系统;
· Work accounting department to file documents.
· 帮会计部门递交资料;
· Run errands for the company.
· 帮公司办理其它杂务
· Help on accounting filings (monthly)
· 协助处理会计文件归档(按月)
· Key into expenses of air tickets, postage, office supplies per entity in ERP system
· 将各类开支费用录入ERP系统,如飞机票、邮资、办公用品等;
· Consolidated weekly physical count sheets
· 汇总每周实物盘点清单
· Any other jobs assigned by accounting department
· 会计部门分配的其它任务
