Job responsibilities
1) Answer and transfer telephone calls promptly. Ensure messages to be forwarded to the receiver timely
2) Take care of guests,interviewees,and take records
3) Handle in & out mail/courier/magazine/newspaper and ensure them to reach the receiver timely
4) Subscribe office magazines and newspaper
5) Arrange travelling such as flight booking, hotel reservation, visa application, etc.
6) Admin support to expatriates such as extending work/residence permit, renewing visa, relocation, etc.
7) Arrange daily office cleaning to maintain offices a clean & comfortable environment
8) Keep office assets in a good usage and maitainance
9) Purchase office supply such as stationery, water, cartridge, etc. and control the cost as per required
10)Handle car rental and driver's work if needed and driver's reimbursement
11)Update contact list if any changes
12)Update admin reports such as attendance report, annual leave record, annual holiday notice, etc.
13)Coordinate with out-of-SH office admin or designated people on reimbursement of office supply
14)Liason with landlords, admin agents and select good admin vendors
15)Assist line manager to organize staff activities
16)Assist line manager to well allocate admin budget and resources in a most efficient way
17)Assist line manager to optimize admin procedures, regulations, policies
18)Other tasks assigned by line manager
Requirements
1) Proficient English general skills, especially oral English and written English. CET-6 or above is a plus
2) Proficient Microsoft office skills, good excel skill and speedy typing is a plus
3) Be responsible, patient & honest
4) Be good in communication and a good team player
5) Be quick in learning & proactive in feedback and taking action
6) Be able to handle miscellaneous matters in a orderly & logical way, knows how to prioritize things
